E-mail like it’s 2012: revisiting my Gmail filters

Several months ago, I spent too many hours hacking away at the 18 years’ worth of messages piled up in my Gmail account–because while I could live with paying for extra storage for Google’s backups of my own photos, I’d be damned if I was going to pay to warehouse random companies’ marketing pitches that were eating up far more of my free storage.

That experience evidently wasn’t enough fun for me, because over the last couple of weeks I’ve dived into a corner of the Gmail interface I hadn’t spent any sustained time in since… 2012? Fortunately for me, Gmail’s filter interface hasn’t sustained any notable changes in at least that long, judging from how rarely it’s earned a mention in Google’s Gmail blog over the last decade.

Much as in 2012, this dialog lets me choose a message by factors like sender, recipient, subject, content, size and the presence of an attachments. Its next pane allows me to amplify the message’s importance by starring it or marking it as important, apply a label or file it under a category tab, or forward it to to an outside address registered with your Gmail account using an even more fossilized interface.

Those are the basics of e-mail management, and they did suffice to help me craft updated message rules that make my Gmail inbox less chaotic and keep my more consequential correspondence filed away neatly. Less e-entropy is a good outcome.

But the limits of the filtering user experience loom large among Gmail’s missing features. The one I keep coming back to is an equivalent to the “sweep” function in the Microsoft’s Outlook.com that automatically whisks matching messages into the trash 10 days after they arrive. But it’s also crazy that the entire filter UX is imprisoned in Gmail’s Web app–you can neither create nor edit nor view filters in Gmail’s Android and iOS apps, as if the last 10 years of mobile-first computing never reached whatever Googleplex building houses the Gmail developers.

Compare that thin gruel to the thoughtful mail-management tools surfacing in apps that actually have to win customers–I’m thinking here of a new Gmail front end called Shortwave that a team of former Google developers just shipped, but also of the Hey mail service. It’s not hard to think that Google could do a lot more with Gmail if it put serious effort into that work. It’s also not hard to think that Google must feel as comfortable in the e-mail market as Microsoft and Yahoo did before Gmail showed up in 2004.

Two ways your mailing list could be less terrible

Monday’s USA Today column on cleaning out an overloaded Gmail inbox required me to spend an unpleasant amount of time scouring my own inbox to find the most prolific senders. The experience left me mostly convinced of the grotesque selfishness of many e-mail marketing types, but it also yielded some grounds for optimism.

As in, the user experience with some of these companies’ mailing lists let me at least think that they recognized concepts like cognitive load, limited attention span and finite storage space. Here are two practices in particular that I liked:

  • Don’t send promotional e-mails from the same address as order confirmations. This makes it so much easier to find and bulk-delete the sales pitches that no longer carry any relevance–or, if you use Microsoft’s Outlook.com, to set up a “sweep” filter that automatically deletes those messages after a set period of time. Ecco, Macy’s and Staples all seemed to follow this polite, filter-friendly custom.
  • Let me choose how often to get emails–a message a day is often just clingy, but one a week could be less obnoxious–and let me specify what kind of pitches might interest me. Best Buy (“Receive no more than one General Marketing email per week”) and Macy’s (“Let’s Take It Down A Notch—Send Me Fewer Emails, Please”) get the frequency thing right, while L.L. Bean not only lets people choose between weekly, monthly or twice-monthly frequencies but invites them to request only messages about departments like Men’s, Home, or Fishing.

I’d like to close by writing something like “see, it doesn’t have to be this hard”–but a look at my Gmail inbox shows that some of my visits to the mail-preference pages of some retailers hasn’t led to them putting a smaller dent in my inbox. I guess they’d prefer I click their unsubscribe link–or use Gmail’s “block” command.

If only I could conduct some sort of study about people’s emotional responses to Facebook…

Why Web-mail alone doesn’t work for me

I installed OS X Mavericks on my MacBook Air Wednesday, and now I can no longer use my Google-hosted work e-mail account in my laptop’s copy of Apple’s Mail–an undocumented change in how that client treats Google IMAP accounts has made them borderline unusable, at least if you want to move a message out of your inbox.

My complaint about this issue yielded the responses I should have expected: Why not just use only Web-mail? That’s a fair question. Here are a few reasons why I’d rather not:

Offline access. Google does provide a capable offline app for Gmail, and I use it all the time–but its Chrome-only Gmail Offline can only download the last month’s worth of mail. To find anything older, I need to get back online. It’s also easier to take my e-mail to another host if all my old messages are already synced to my hard drive.

A separate tool for a separate task. Because a mail client has its own interactive Dock or taskbar button, it can show in real time how many messages have arrived–and can’t get overlooked among 20 other open browser tabs. And without ads or a browser toolbar that doesn’t help with mail management, I can see more of my mail.

Message management. It takes fewer clicks to select a batch of messages and move them to another folder–especially if they’re not contiguous–in a local mail client than in Gmail’s standard interface, much less the simpler Gmail Offline.

Quick Look. If somebody sends me a Word, PDF or some kind of complex document, I can get an instant preview of it by selecting the document and hitting the space bar, courtesy of OS X’s Quick Look feature. In Gmail, I have to wait for the file to download and preview in a separate window.

Better calendar integration. Both Gmail and Mail can create a new calendar event if they see a date or time in a message, but Gmail insists on adding that to your default Google calendar. Mail allows you to add it to the calendar of your choice.

Individually, these are little differences, but they add up. And while a better Web-mail system could address them all someday, I can have these things on my checklist today with a functioning client running on my Mac. It’s too bad Apple chose to break its own.

So do I now switch to something like Postbox or Airmail–or do I get around Google’s wonky implementation of IMAP entirely by switching to, say, Microsoft’s newly IMAP-comaptible Outlook.com? That’s a topic for another post. But I welcome your input in the comments.

I appreciate his honesty… and hope it doesn’t get in the way of him lining up a new distributor so I can see this flick for the first time since 1996.

T-Mobile announced that it would give its users free 2G data service overseas, and WTOP’s Kristi King sought out my input. My voice sounds sharper than usual not because I was in studio, but because I recorded my end of the conversation with a desktop microphone and then e-mailed the MP3 to King.

A reader asked a question I’d answered last May, but enough things have changed in the Web-mail market for me to revisit the question. And this time around, Outlook.com’s $19.95 ad-free option looks a lot more attractive now that Microsoft’s service supports standard IMAP synchronization. The column also includes a brief explanation of Google’s new “Shared Endorsement” ads and a comparison of them with Facebook’s “Sponsored Stories.”

On Sulia, I posted a couple of reports from an Intuit press event and reception in D.C. (one on how it “ended up distracting the Mint team for the greater good of the company,” another on how its SnapTax app unintentionally makes a case for the direct e-filing that Intuit has lobbied long and hard against), scolded Facebook for taking away the option to hide your name from its search, reported some startups’ testimony about patent trolling, and noted how the advertised prices for CenturyLink’s new gigabit fiber service in Las Vegas understate what you might pay.

7/31/2012: Microsoft Outlook: Not Hotmail, Not Quite Gmail, Discovery News

I had high expectations for this service when I got an embargoed briefing of it from Microsoft about two weeks ago–finally, I thought, I might have something that would allow me to move my home e-mail from Google. But I didn’t know at the time how limited Exchange ActiveSync support could be: Contrary to my first expectations, this Hotmail successor leaves Mac users no way to sync their e-mail to a desktop client. My review devoted more words to this topic than most; I was glad to see the same issue come up multiple times in the Reddit discussion Microsoft invited, and I hope Outlook.com’s developers take the numerous hints.

After reviewing Google Drive and seeing how tightly Apple and Microsoft’s new and upcoming software integrate each company’s cloud services, I realized I wasn’t sure which ones to include or rule out. So I wrote up the questions I’d want to ask of any cloud service for CEA’s blog.

After Comcast invited me to a screening of some “Ultra High Definition” Olympics video (as in, 7,680 by 4,320 pixels, adding up to 33 megapixels and change), I wrote up my impressions of the experience. Not a surprise, considering my earlier writing: I didn’t come away hoping to get something like that in my living room. Actual surprise: a reader wrote in to protest that studies by the Japanese broadcaster NHK showed that people could distinguish the higher resolution of 8K in still images seen at common viewing distances. Since this reader couldn’t get a comment to post, I quoted those e-mails in a comment I added to the post.

8/5/2012: Monitor your Mac’s behind the scenes activity, USA Today

Maybe a day after I’d posted my review of OS X Mountain Lion, I noticed that my iMac (but not the new MacBook Air next to it) was suddenly running low on memory. I checked the Activity Monitor app, saw a CalendarAgent process eating up every last bit of RAM, confirmed that others also had this problem, and force-quit that process. After several tries had apparently beaten this program into submission, wrote a reminder for USAT about the usefulness of Activity Monitor. (It also covered reasons to use or ignore the Mac App Store.) Unfortunately, CalendarAgent resumed its assault on the iMac’s memory and processor after I’d filed this piece; any ideas about what to do next, besides yell at Apple to fix its software?
