Travel delays can be a team sport

After weeks of walking between the raindrops of flight delays and cancellations, I got soaked coming home from Toronto after the Collision conference there. And while Air Canada started things by cancelling my Thursday-evening flight, I managed to compound it with some avoidable clumsiness of my own that ensured I would not arrive at my house until around 12:30 Friday.

Things started going sideways for my YYZ-DCA flight by midday Thursday, when the Flightradar24 app reported that the regional jet assigned to operate it had fallen hours behind schedule as it hopped from Montreal to Atlanta before coming to Toronto. Air Canada’s site kept listing this flight on time, but at 5:52 p.m. the airline texted and e-mailed that it had canceled AC 8786 due to “the impacts of the COVID-19 pandemic on aviation which includes government entry requirements, travel advisories, crew constraints, and local movement restrictions.”

That e-mail said the airline was “looking for an alternative flight,” after which I soon found one in United’s app: Air Canada’s last YYZ-IAD flight that night. Alas, Air Canada’s phone line dumped me after playing a goodbye-and-good-luck message: “Due to extremely high call volume, we apologize that we are not able to place you on hold.” And while its site had a rebooking tool, it didn’t list the Dulles flight.

But Air Canada’s Twitter profile welcomed direct messages, so I tried that before accepting the site’s least-bad alternative, an nonstop to BWI at 8 a.m. Friday. I sent a DM asking for the YYZ-IAD flight and listing my booking code and then didn’t get an acknowledgment–until 14 minutes later, when a rep replied to confirm my requested rebooking.

“You will need to check-in for this flight,” the rep advised.

If only she’d added “in the next 20 minutes.”

I hustled over to Toronto’s Union Station for the next Union Pearson Express train and didn’t start to check in until reaching the UP Express waiting area. That’s when I hit an obstacle I had not experienced checking in via my phone the night before: AC’s mobile site didn’t show any way to upload my phone’s picture of my vaccination card or the SMART QR code generated from those records, instead directing me to take a picture of either.

Unfortunately, I lost my paper vax card a few months ago (which had until then seemed a sentimental-value problem), and I didn’t think to open my laptop and use my phone to take a photo of the picture of the card or the screenshot of the QR code saved in Google Photos. Instead, I selected an option to verify my check-in at the airport, thought I’d try to check in again using a different browser–and then got a message that check-in wasn’t available.

This whole time, I had been assuming I had 60 minutes pre-departure to check in. That’s the rule I’d seen listed before for international flights without checked baggage but had not researched further–leaving me unaware that YYZ’s cut-off time is 90 minutes.

Inwardly cursing my own stupidity as my train pulled out of Union, I switched back to my DM thread with AC, asked if I’d screwed up everything, and had a different rep assure me: “Not to worry, you will be able to complete the check-in at the airport!”

The rep was incorrect and the rule was correct. By the time I got to Pearson and jogged to the check-in area for U.S.-bound flights (while seeing in Flightradar24 that the IAD flight itself would depart hours late, because that incoming aircraft left Chicago three hours behind schedule), nobody was left at Air Canada’s stations except for two reps at a special-assistance desk who had passengers in line ahead of me with their own complex problems.

When my spot came up 20 or so minutes later, a fatigued but still polite agent said the system would not allow her to check me in–and besides, security and customs preclearance for U.S.-bound flights had already closed for the evening.

This agent said she would put me on the 8 a.m. Baltimore flight; having heard her colleague tell another delayed traveler that Air Canada would cover his hotel costs, I asked her if the airline could make the same accommodation in my case. To my pleasant surprise, she said the airline would reimburse me for up to $300.

As she then worked on my flight rebooking, I sat down on the nearest bench, opened my laptop to reserve a hotel, and got into a conversation with an even more frazzled traveler–a Toronto grandmother who had seen a flight cancellation thwart her attempt to visit her son in Alexandria. I described how I’d foolishly thrown away my shot at getting home that night, said it was a rough summer for airlines all over the U.S., and wished her luck getting to my city in the morning.

After a few hours of inadequate sleep in a Marriott Fairfield outside of YYZ and breakfast split between two Air Canada lounges, I finally boarded the Baltimore flight and slept through most of it. I rushed out of the terminal to the stop for the shuttle bus to the BWI rail station–and a minute later, the Toronto woman showed up, tired and unsure about how to get to D.C. I remembered my mother-in-law telling me about having the same experience years ago.

I said I was happy to walk her through what is, objectively speaking, one of the worst airport-to-rail connections in the U.S., and then we could take the train together if that would help. We had a pleasant conversation at the station waiting for the next MARC to D.C. that continued on the ride into Union Station, and then we headed to our separate family reunions.

Lesson learned: A trip interruption, even if partly self-inflicted, that only delays your return by 14 hours and allows you to be of some small service to a fellow passenger is not the worst thing in the traveling world.

Notes from getting to Tokyo the hard way

When I woke up before 5 a.m. a week ago, I hoped that the main problem with my itinerary to Japan would be a long wait in San Francisco for my already-delayed Tokyo flight. At least I could watch the Nats game at SFO, I naively thought.

But more than halfway through my IAD-SFO leg, United succumbed to the meteorological reality of Typhoon Hagibis and cancelled my SFO-NRT flight, just as it had already scrubbed every other departure to Tokyo’s Narita and Haneda airports that day.

That was not the end of my trip, and I made it to Tokyo for the CEATEC trade show only a day after my scheduled arrival. (In case you missed this disclosure the first time: CEATEC paid my airfare.) But I did need to resort to some moderately advanced travel hacking. Should you find your own international itinerary going sideways, the following advice may help.

Research alternate connecting points. After getting that flight-cancellation notice and seeing the United app list no open flights to Tokyo, the next resource I checked was the route map in the inflight mag. I wanted to see where on the other side of the Pacific UA could get me from SFO–the idea being that once I was within a thousand or so miles of Japan, my travel options would expand. The closest such places: Seoul, Shanghai and Taipei.

At SFO, an exceptionally resourceful United Club agent–airline lounge agents are among your best options during irregular operations–quickly determined that the Seoul flights had no seats open Saturday or Sunday. Taipei could have worked, but then the only routing she saw would have had me fly to Bangkok to chance a one-hour connection to Narita; no thanks. An itinerary from San Francisco to Honolulu to Guam was open, but that showed no seats available from Guam to Tokyo until Tuesday morning.

Be flexible. This agent did, however, see that UA 857 to Shanghai, departing in an hour and change, had a seat free in Economy Plus. From there, she had me booked on an ANA red-eye to Haneda Tuesday morning–“morning” as in a 1:45 a.m. departure–with a chance that I could standby on the Monday-a.m. PVG-HND flight.

This did mean I’d lose the premium-economy seat I’d had on the original SFO-NRT leg. And my odds of an upgrade clearing on a route that sees Apple buy up most of the forward cabin would be exceedingly low, in reality zero. Oh well… the only way I could have held on to my original PE seat was to hope it would reappear on Sunday’s SFO-NRT flight, which did not seem like a winning move then.

Note that all of this rebooking was made immensely easier by the fact that I didn’t check a bag. Always carry on your luggage when traveling internationally.

Keep checking. Over the next 12 hours I spent in seat 23B, I thought to check a few other options for a Monday departure from Shanghai. (Remember, you should be able to use your airline’s app and site for free even if you don’t pay for its inflight WiFi). I was pleasantly surprised that United’s app listed a few one-stop itineraries from Shanghai to Haneda; it didn’t let me change to them, but at least I could ask United to rebook me on one.

I also remembered to see if any flights were available on miles. Another pleasant surprise: The app listed multiple connecting flights at just 15,000 miles, a miles-to-dollars rate I never see on domestic booking and worth breaking my rule about not burning miles on work travel. Lesson re-learned: partner redemptions can be much cheaper than anything an airline offers on its own metal.

I couldn’t get the most direct ones to complete booking, but I did secure a reservation that would have me fly from Shanghai to Sapporo Monday morning, then spend six hours in Japan’s northern island of Hokkaido before flying to Haneda that night. Not great, but better than a 1:45 a.m. departure.

On arrival at Shanghai–meaning after the lengthy wait to clear immigration and customs–I discovered that the ANA desk didn’t open for another two hours and change. I decided to bag the idea of trying to standby on a 1:45 a.m. red-eye after 20 hours of travel and instead got in touch with United. The easiest way to do that in my bandwidth-choked environment (a hotspot with a terrible connection made still slower by the virtual-private-network tunneling mandatory in China) was via Twitter direct messages.

And, to UA’s immense credit, that worked. I passed on the flight numbers for my shortest connection–Shanghai to Fukuoka, on Japan’s southern island of Kyushu, then Fukuoka to Haneda–and, after an anxiety-inducing wait, got a response that ended: “currently working on the ticket change.” Fifty-one minutes later, a DM confirmed my rebooking. I undid the mileage reservation within the 24-hour free-cancel window and booked a hotel. That was shockingly cheap: $70 and change for an upscale, well-placed property.

Try to appreciate the adventure. Going to Japan via China was not ideal in many ways–literally any other connection would have given me a normal level of bandwidth–but it did have its moments. I got to take the Shanghai Maglev from the airport and back, something I’d last experienced in 2007. I was able to cross another two airports off my list (because I am sometimes 12 years old, I appreciated how one carries the IATA code of “FUK”). And on arrival at HND, I was able to incorporate yet another mode of travel into my itinerary, the Tokyo Monorail. That and two other trains got me to my hotel in time for dinner, which was more than I’d thought likely at SFO two days before.

Plus, this little travel saga reminded me that I could bounce around the Pacific Rim with zero advance planning and not get lost. That’s worth something in itself.

Two sides of airline customer support

My trip home from SXSW Wednesday started with my first of two flights getting delayed by at least two hours, ensuring that I’d miss my connection in Houston–and I never worried about getting home that day.

That was because I had some of the best possible support in my corner: the agents at the United Club in Austin. Within minutes of the United app warning of a delay for my AUS-IAH flight–and the FlightAware site showing not just a delay, but the inbound plane for my flight returning to Houston instead of battling through a line of storms–they started lining up alternatives.

First they booked me on a 2:20 p.m. flight from Houston to Dulles, then they put me on standby on a 12:15 nonstop from Austin to Dulles. And after I asked about options in case my delayed AUS-IAH flight got off the ground even later and said I’d be fine flying into National instead of Dulles, they protected me on a late-afternoon IAH-DCA flight.

In the end, we got out of AUS a little after noon, allowing me to make that 2:20 flight to Dulles. My upgrade even cleared on both flights–something that hadn’t happened on a domestic flight since September.

That’s exactly the kind of help I’ve gotten at United Clubs the one or two times a year I have an itinerary go sideways. The agents behind the desks there are empowered to fix problems and bend rules if needed, and they seem to enjoy the challenge. As View From the Wing blogger Gary Leff regularly reminds readers, it’s that level of assistance–not the free cheese cubes and prosecco–that justifies the expense of a lounge membership.

(The cost for me is $450 a year, the annual fee for the lounge-membership-included United credit card I use for my business. I recoup most or all of that cost each year by using the extra frequent-flyer miles the card generates on free tickets for my family.)

Feb. 22, my brother had an entirely different experience on United. A late-arriving crew delayed he and his family’s flight from San Diego to Dulles, ensuring they’d miss their connection home to Boston. He has no status or club membership with UA, so he could only call the regular United line. From John’s accounts, this was pretty terrible all around; were he on Twitter, some epic Airline Twitter would have resulted.

With none of the next day’s flights from IAD to BOS offering four seats open, United’s phone rep tried to ticket them on American. But apparently that didn’t take in AA’s system, and it took much longer for the rep to rebook the four of them on Delta–from DCA to LGA to BOS. The process took long enough that John was still on the phone when I landed in Brussels on my way to Barcelona–so I texted him from the lounge there and called United’s 1K line myself to make sure they’d fixed his reservation.

John and co. did finally get home that Saturday, and at least they could stay at my house Friday night for free. But his treatment didn’t make him want to fly United again, while mine did.

Unfortunately, a lounge membership doesn’t make financial sense unless your travel patterns justify consolidating your travel on one airline and building status there. So I can’t endorse that for everyone. Instead, I will repeat an earlier endorsement: FlightAware really is great for tracking the status of an inbound aircraft, and you should never take an airline’s word for your flight’s departure time until you check it there first.
